How It Works · The KDO Mailing Process

Direct mail, from artwork approval to in-home delivery, in nine working days.

We run list sourcing, design, printing, postage, and tracked delivery as one accountable team — under one SLA, in one Cincinnati facility. No vendor relay. No missed drops. No six-week limbo between "we approved it" and "it landed."

Day 0 → Day 9

The 9-day calendar, day by day.

Verified across more than 18,400 campaigns shipped since 2017, our standard turnaround on custom-designed pieces is nine business days from approved artwork to in-home delivery. Here is what happens on each day, and which KDO team owns it.

  1. Day 0
    01

    Artwork approved, file locked

Your designer or ours delivers a press-ready PDF. Our prepress team runs a four-point technical check: bleed, color profile, postal indicia, and mailpiece design compliance.

    Owned by: Prepress Lead

  2. Day 1–2
    02

    List sourced & postal-qualified

We pull, dedupe, and NCOA-link your audience against 240+ attributes. Every record passes USPS delivery-point validation before it touches a press plate.

    Owned by: Data Engineering

  3. Day 3–5
    03

    Print & personalize

Six offset presses and two HP Indigo digital lines run 24/6. Variable data merges per-recipient copy and a unique MatchBack QR or URL into each piece.

    Owned by: Production Manager

  4. Day 6–9
    04

    Insert, post, deliver, measure

USPS inducted, tracked via Intelligent Mail barcodes. MatchBack attribution begins firing the moment mail enters the local stream — online visits, form fills, and purchases are tied back to the mailed piece.

    Owned by: Mail Operations Director

Heads-up on custom design: if we are designing the piece from scratch (not just printing yours), add 3–5 business days for concept and revision. Same-day or 24-hour dispatch is not offered on custom work — minimum nine business days.

One team, four workstreams

List, design, print, and post — handled under one accountable KDO team.

Most direct mail programs run across a list broker, a freelance designer, a third-party printer, and a mail house. Each handoff adds days and dilutes accountability. At KDO, all four workstreams sit inside one team with one production director, one SLA, and one invoice.

01

List sourcing & hygiene

Our four data engineers build, clean, and model your audience against 240+ demographic, behavioral, and modeled-propensity attributes. NCOA, dedupe, and USPS DPV validation are run in-house.

  • Audience build from CRM, CSV, or platform export
  • NCOA link & suppression against 48-month movers
  • USPS Delivery Point Validation on every record
  • Optional modeled look-alikes via our partner panel
02

Design & prepress

Twelve in-house designers work alongside three USPS-certified Mailpiece Design Analysts — one of only 47 providers nationwide to maintain MDA certification in-house rather than outsourcing.

  • Concept, copy, and layout on every format
  • MDA compliance review for automation discounts
  • Variable-data personalization designed in
  • Press-check ownership from PDF to plate
03

Print production

An 84,000 sq ft Cincinnati facility running six offset presses and two HP Indigo digital lines, 24 hours a day, six days a week. Capacity we own, not lease — so we control the schedule.

  • Offset runs from 25,000 to 2 million pieces
  • HP Indigo digital for runs under 25,000
  • In-line variable data, MatchBack QR/URL per piece
  • Award-winning variable-data print (PIA 2022 & 2024)
04

Postage & delivery

We induct directly with the USPS, applying the right automation or saturation rate class for your campaign — and tracking every piece via Intelligent Mail barcodes until it is scanned at the carrier route.

  • First-Class & Marketing Mail class selection
  • IMb barcode tracking on every piece
  • Drop-window & in-home date forecasting
  • On-time dispatch rate of 99.94% (2024 actual)

Inside the production floor

84,000 square feet of owned capacity in Cincinnati, OH.

Most direct mail shops outsource their press capacity. We own ours outright. The Cincinnati facility houses six offset presses, two HP Indigo digital lines, a full bindery and insert operation, and a 60-person production team working a six-day shift pattern built to protect the nine-day SLA.

Capacity isn't a sales pitch — it shows up in our on-time dispatch numbers. In 2024 we processed 9.2 million triggered mailings via API and 18,427 cumulative campaigns since 2017, with a 99.94% on-time dispatch rate.

MatchBack attribution diagram tying mailed pieces to online actions

MatchBack attribution

Every piece tied to the digital action it caused.

We treat direct mail as a measurable channel, not a branding tactic. Each mailed piece carries a unique MatchBack code — a QR, a tracked URL, or a stitched identifier — that attributes downstream site visits, form fills, and purchases back to the exact recipient.

In 2024, our proprietary MatchBack engine tied 87% of mailed pieces to a digital action within 30 days — the highest attribution rate in the independent direct mail space per the 2024 Print & Postage Benchmark Report. That's how you measure direct mail next to paid social, search, and email in one dashboard.
